Administrative and Office Management

The work will include, but not be limited to, the following: budgetary/financial, administrative, office management, office automation and data analysis and reporting and entry tasks:

Budgetary/Financial

    -- Analyze financial transactions, making recommendations to Permanent personnel for adjustments or making adjustments to accounts as approved. Provides financial advice as required.

    --Post or make adjustments to account through use of the Financial and Business Management System (FBMS) and/or the Budget and Science Information Systems Plus (BASIS+) as approved.

    --Analyze and balance accounts through budgetary execution reconciliation processes.

    --Adjust accounts to move bank card statement charges to correct account from annotated monthly statements.

    --Meet with and advise project personnel on the financial condition of accounts assigned.

    --Utilizing Time and Attendance software (currently Quicktime) devise and enter data into the on line system, verify and validate the authenticity of the data. Performs the Timekeeper functional duty.

Administrative and Office Manage (Office Automation)

    --Utilizing the Property Management Information System enters data, draws reports and provides property management advice as required.

    ---Provide Travel Management Services including but not limited to the following:

    ---Prepare travel authorizations and travel reimbursement documents utilizing Govtrip software.

    ---Maintain travel document files. Collect and maintain volunteer-hour logs and agreements.

    ---Monitor general supplies and team resources refilling supplies as needed.

    ---Provide general office functions such as filing, faxing, making copies, mail receipt and distribution. Greets visitors, responds to queries and provides directions and other information as required.

    --Other duties may be assigned.

Special projects may be assigned to the contract employee assigned to support the Team personnel in Menlo Park, CA, Pasadena, CA, and Seattle, WA. These tasks must be carried out in a straight forth manner and may require strict levels confidentiality.

The ability to type at a rate of at least 25 words per minute is required.
Knowledge of the standard suite of Microsoft Office operating software including Word, Excel, Power Point and Internet Explorer is required.
Skill in the use of either PC or Mac hard ward is acceptable.
Knowledge of accounting, general business arithmetic or bookkeeping functions is required

Hours of Work
The work is to be accomplished during regular working hours and is expected to average 20 to 40 hours per week, Monday through Friday between the hours of 6:00 a.m. and 6:00 p.m.

The vendor will be accorded flexible arrival and departure times with a core working hours beginning at 9:00 a.m. and ending at 3:00 p.m. The core working period is adjustable to the needs of the organization and the personal needs of the supporting contractor.

Period of Performance
February 2012 through 31 January 2013 and an option period of 01 February 2013 through 31 January 2013, which will be exercised pending the availability of funding and continuing need.
