Duties and Responsibilities - General Clerk 1
• Receives telephone calls to the office in a professional and courteous manner. Notifies staff members of incoming telephone calls, routing those calls appropriately. If staff member is unavailable, routes call to voicemail.
• Receives visitors, controls access to the office and ensures visitors properly cleared are authorized entry. Updates and maintains automated visitor log, issuing escorted/unescorted badges. Notifies staff members of visitors.
• Responds to phone/visitor inquiries, providing general information regarding office programs. Advises caller or visitor to contact the appropriate Federal, State or local agencies.
• Receives, reviews, and distributes incoming mail. Checks mail and annotates accordingly, e.g. attorney assigned, case number, etc. Ensures mail received from other agencies is appropriately screened and distributed. Immediately notifies appropriate staff member when material is received via hand-delivery, UPS, Fedex or by FAX transmission and places in appropriate internal mail box.
• Other clerical duties such as mail metering, data entry, scanning projects, mass mailings, small photocopy projects, etc.
